Privacy Policy
This translation is for informational purposes only. The legally binding version is the German "Datenschutzerklaerung".
1. Privacy at a Glance
General Information
We have prepared this privacy policy (version dated 09/04/2026) in order to explain to you, in accordance with the requirements of the General Data Protection Regulation (EU) 2016/679 and applicable national laws, which personal data ("data" for short) we, as the controller, and processors engaged by us (for example providers) process, will process in the future, and what lawful options you have. The terms used are intended to be gender neutral.
In short: we provide you with comprehensive information about the data we process about you.
Privacy policies often sound very technical and use legal terminology. This privacy policy, however, is intended to describe the most important matters as simply and transparently as possible. Where it serves transparency, technical terms are explained in a reader-friendly way, links to further information are provided, and graphics may be used. We therefore inform you in clear and simple language that, in the course of our business activities, we only process personal data where there is a corresponding legal basis. That is certainly not possible if one gives extremely brief, unclear, and legalistic explanations, as is often standard on the internet when it comes to data protection. We hope you find the following explanations interesting and informative and that there may be one or two pieces of information you did not previously know.
If you still have questions, please contact the responsible body named below or in the legal notice, follow the provided links, and consult further information on third-party websites. Our contact details can of course also be found in the legal notice.
Scope
This privacy policy applies to all personal data processed by us within the company and to all personal data processed by companies commissioned by us (processors). By personal data we mean information within the meaning of Art. 4 No. 1 GDPR, such as a person's name, email address, and postal address. The processing of personal data enables us to offer and bill our services and products, whether online or offline. The scope of this privacy policy includes:
- all online presences (websites and online shops) operated by us
- social media presences and email communication
- mobile apps for smartphones and other devices
- the Ludenscheid Launcher including the Emergency Ludenscheid modification
- Discord integrations and Discord-supported multiplayer functions
- the Ludenscheid API
In short: this privacy policy applies to all areas in which personal data is processed in a structured manner within the company through the channels named above. Should we enter into legal relations with you outside these channels, we will inform you separately where necessary.
Legal Bases
In the following privacy policy, we provide transparent information about the legal principles and provisions, that is, the legal bases of the General Data Protection Regulation, that allow us to process personal data.
As far as EU law is concerned, we refer to REGULATION (EU) 2016/679 OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL of 27 April 2016. You can, of course, read this EU General Data Protection Regulation online on EUR-Lex, the access point to EU law, at https://eur-lex.europa.eu/legal-content/DE/TXT/?uri=celex%3A32016R0679.
We only process your data if at least one of the following conditions applies:
- Consent (Art. 6(1)(a) GDPR): You have given us your consent to process data for a specific purpose. An example would be contacting us by email if you voluntarily provide corresponding information.
- Contract (Art. 6(1)(b) GDPR): In order to fulfill a contract or pre-contractual obligations with you, we process your data. For example, if we conclude a purchase contract with you, we require personal information in advance.
- Legal obligation (Art. 6(1)(c) GDPR): If we are subject to a legal obligation, we process your data. For example, we are legally obliged to retain invoices for accounting purposes. These usually contain personal data.
- Legitimate interests (Art. 6(1)(f) GDPR): In the case of legitimate interests that do not restrict your fundamental rights, we reserve the right to process personal data. For example, we need to process certain data in order to operate our website securely and efficiently. Such processing therefore constitutes a legitimate interest.
Other conditions such as processing in the public interest, the exercise of official authority, or the protection of vital interests generally do not arise in our case. If such a legal basis should nevertheless be relevant, it will be indicated at the appropriate place.
In addition to the EU Regulation, national laws also apply:
- In Austria, this is the Federal Act concerning the Protection of Natural Persons with regard to the Processing of Personal Data (Datenschutzgesetz), abbreviated DSG.
- In Germany, the Federal Data Protection Act (BDSG) applies.
If further regional or national laws apply, we will inform you about them in the following sections.
Storage Periods
As a general rule, we store personal data only for as long as is absolutely necessary to provide our services and products. This means that we delete personal data as soon as the reason for processing no longer applies. In some cases, we are legally obliged to retain certain data even after the original purpose no longer applies, for example for accounting purposes. If you request the deletion of your data or revoke your consent to data processing, the data will be deleted as quickly as possible, provided there is no obligation to retain it.
Where necessary to safeguard our legitimate interests, we may continue to store certain data in a restricted form beyond active use. This applies in particular to data required to detect and prevent abuse, to enforce and document player exclusions, bans, or other sanctions, to prevent fraud and circumvention attempts, to maintain IT and system security, for anti-cheat measures, and to assert, exercise, or defend legal claims. The legal basis for this is Art. 6(1)(f) GDPR. In such cases, we limit storage to the data necessary for these purposes and regularly review whether further retention is still required.
Data Collection on Our Website
Data processing on this website is carried out by the website operator. The operator's contact details can be found in the legal notice of this website.
Your data is collected, on the one hand, when you provide it to us. This may, for example, be data that you send to us by email to the address stated in the legal notice.

Some of the data is collected to ensure the website is provided without errors. Other data may be used to analyze your user behavior.
You have the right at any time to receive free information about the origin, recipients, and purpose of your stored personal data. We take the protection of your personal data very seriously. We treat your personal data confidentially and in accordance with statutory data protection regulations and this privacy policy.
When you use this website, various personal data is collected. Personal data is data with which you can be personally identified. This privacy policy explains which data we collect and what we use it for. It also explains how and for what purpose this is done.
We point out that data transmission on the internet (for example when communicating by email) may have security gaps. Complete protection of data against access by third parties is not possible.
Information About the Controller
The controller responsible for data processing on this website is:

Further contact details can be found in the legal notice of this website.
The controller is the natural or legal person who alone or jointly with others decides on the purposes and means of the processing of personal data (for example names, email addresses, or similar).
Withdrawal of Your Consent to Data Processing
Many data processing operations are only possible with your express consent. You may revoke consent already given at any time. An informal notification by email is sufficient for this purpose. The lawfulness of the data processing carried out until the revocation remains unaffected by the revocation.
Right to Object to Data Collection in Special Cases and to Direct Advertising (Art. 21 GDPR)
If data processing is carried out on the basis of Art. 6(1)(e) or (f) GDPR, you have the right at any time, on grounds relating to your particular situation, to object to the processing of your personal data; this also applies to profiling based on those provisions. The respective legal basis on which processing is based can be found in this privacy policy. If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights, and freedoms or the processing serves the establishment, exercise, or defense of legal claims (objection pursuant to Art. 21(1) GDPR).
If your personal data is processed for the purpose of direct advertising, you have the right to object at any time to the processing of personal data concerning you for the purpose of such advertising; this also applies to profiling insofar as it is related to such direct advertising. If you object, your personal data will subsequently no longer be used for the purpose of direct advertising (objection pursuant to Art. 21(2) GDPR).
Right to Lodge a Complaint With the Competent Supervisory Authority
In the event of violations of the GDPR, data subjects have the right to lodge a complaint with a supervisory authority, in particular in the Member State of their habitual residence, place of work, or place of the alleged violation. The right to lodge a complaint exists without prejudice to any other administrative or judicial remedies.
Right to Data Portability
You have the right to have data that we process automatically on the basis of your consent or in fulfillment of a contract handed over to you or to a third party in a commonly used, machine-readable format. If you request the direct transfer of the data to another controller, this will only be done insofar as it is technically feasible.
Information, Restriction, Erasure, and Rectification
Within the framework of the applicable legal provisions, you have the right at any time to free information about your stored personal data, its origin and recipients, and the purpose of data processing and, where applicable, a right to rectification, restriction, or deletion of this data. For this purpose, and for further questions on the subject of personal data, you may contact us at any time using the address stated in the legal notice.
To ensure that data is not disclosed to unauthorized third parties or deleted at their request, we reserve the right to request proof of identity for corresponding requests, for example confirmation via the registered email address.
Right to Restriction of Processing
You have the right to request the restriction of the processing of your personal data. You may contact us at any time using the address stated in the legal notice for this purpose. The right to restriction of processing exists in the following cases:
- If you contest the accuracy of your personal data stored by us, we generally need time to verify this. For the duration of the review, you have the right to request the restriction of the processing of your personal data.
- If the processing of your personal data was or is unlawful, you may request the restriction of data processing instead of deletion.
- If we no longer need your personal data, but you require it for the establishment, exercise, or defense of legal claims, you have the right to request the restriction of the processing of your personal data instead of deletion.
- If you have lodged an objection pursuant to Art. 21(1) GDPR, a balancing of interests between your interests and ours must be carried out. As long as it has not yet been determined whose interests prevail, you have the right to request the restriction of the processing of your personal data.
If you have restricted the processing of your personal data, such data may, apart from being stored, only be processed with your consent or for the establishment, exercise, or defense of legal claims or for the protection of the rights of another natural or legal person or for reasons of important public interest of the European Union or of a Member State.
3. Data Collection
Cookies
Some of the website pages use so-called cookies. Cookies do not harm your computer and do not contain viruses. Cookies serve to make our offer more user-friendly, effective, and secure. Cookies are small text files that are stored on your computer and saved by your browser.

Insofar as other cookies (for example cookies for analyzing your surfing behavior) are stored, they are treated separately in this privacy policy.
This cookie policy was created and updated by CookieFirst.com.
Server Log Files
The provider of the pages automatically collects and stores information in so-called server log files, which your browser automatically transmits to us. These are:

- Emergency username
- IP address
- Discord ID
The collected data is generally stored only for as long as necessary to provide the modification, the dispatch center, multiplayer functions, and associated statistics. If you request deletion, we will delete the data unless statutory retention obligations or overriding legitimate interests prevent this. Individual identification, log, and verification data may also be stored after the end of use if and for as long as this is necessary to prevent abuse, enforce player exclusions or sanctions, detect multiple accounts or ban circumvention, investigate security incidents, or secure legal claims. In such cases, we limit further storage to the minimum required.

All other data remains with the respective provider. A link between our Keycloak instance and the third-party accounts can be removed at any time in the account dashboard.
Deletion of the data stored by us can be requested. Unless statutory retention obligations or overriding legitimate interests prevent this, we will delete such data. However, we may continue to store individual account or evidence data if this is necessary for abuse prevention, to prevent the circumvention of bans or player exclusions, to secure our systems, or to assert, exercise, or defend legal claims. The legal basis for this is Art. 6(1)(f) GDPR.
8. Control Center
An account is required to use the Emergency Ludenscheid control center. Registration and login take place via our forum.
What data is stored in the control center when an account is registered?
Emergency username
Special use of the username:
There is a community high score list in which game data such as the number of missions, patient transports, and so on is listed and linked to the respective username.
Who has access to the data and to what extent?
The owner of the "Emergency Ludenscheid" project - full access
Server administrators of the control center - full access
To ensure data protection compliant processing, we have concluded data processing agreements with all persons involved in administration and server administration.
Deletion of the data stored by us can be requested. If data is no longer required for the ongoing operation of the control center, we will delete it. However, we may continue to store individual identification and log data on the basis of Art. 6(1)(f) GDPR insofar as this is necessary to prevent abuse, trace security-relevant incidents, enforce player exclusions, or defend against legal claims.
In the event of account deletion, your posts will be anonymized, for example by changing the author name to "Guest1234". There is no entitlement to complete deletion of discussion posts if this would impair the integrity and context of existing discussions (Art. 17(3)(a) GDPR).
9. High Score / Statistics
A high score / statistics page has been created for the community where data such as play time, missions, and so on is collected. This only works when using the Emergency Ludenscheid control center.
What data is stored in the statistics?
Username of the control center dispatcher
Usernames of the players in a session
Who has access to the data and to what extent?
The owner of the "Emergency Ludenscheid" project - full access
Server administrators of the control center - full access
Deletion of the data stored by us can be requested. Statistical data is deleted or anonymized as soon as it is no longer required for the respective purpose. Insofar as this is necessary to safeguard the integrity of the statistics, prevent manipulation, assign player exclusions, or defend against abuse, we may continue to store individual associated evidence data on a temporary basis on the basis of Art. 6(1)(f) GDPR.
